Reclassify 60 uncategorized QuickBooks expenses in one approval
QuickBooks' Reclassify tool moves transactions to an account you pick. Here, an AI app proposes the account for each uncategorized line from vendor history, and by default nothing posts until it's approved.
Open last quarter’s Profit and Loss in a client file you inherited and look for Uncategorized Expense. In a sample company we tested, it held $11,659.92 across 60 transactions, from fuel stops, phone bills, software subscriptions, and lumber runs, all from vendors the books knew well.
The usual fix is to open each transaction, pick the right account, save, and repeat. It’s a common complaint about QuickBooks corrections in general. One QuickBooks user, writing about fixing vendors, dates, and terms, put it this way: “So many mistakes have to be corrected by opening each transaction one at a time.”
QuickBooks’ Reclassify tool moves transactions, but you choose every account
QuickBooks has a native answer, and it’s worth knowing first. Firms working in QuickBooks Online Accountant can use the Reclassify transactions tool on any client’s subscription, and client files need QuickBooks Online Advanced to use it themselves. It moves a batch of transactions to a new account, class, or location.
What it doesn’t do is decide. You pick the new account for the transactions you select. With 60 items from 12 vendors, that means sorting them into 9 account groups yourself before the bulk step helps. It also has limits. You can’t change the bank or card account on an expense, or the account or class on an inventory adjustment. On invoices, sales receipts, checks, and bills that use products or services, only the class can change, and on billable expenses the income side stays as it is.
If you know the new account for a block of transactions, use Intuit’s tool. The rest of this page is about the other case: many vendors, and you’d rather review a proposal than build the groups by hand.
How an AI app does it through Connect
Connect for accounting firms lets an AI app your firm uses, such as Claude or ChatGPT, read and change a QuickBooks Online company under firm controls. A cleanup runs in two passes.
- Read and propose. The app reads the period’s posted expenses, finds the lines in Uncategorized Expense, and proposes an account for each from how that vendor has been categorized before, with the basis for each one. Nothing changes in this pass.
- Approve, then post. When you say “post these”, the app sends the changes to Connect as a batch. By default, nothing reaches QuickBooks until the batch is approved. Connect holds every change until then. Set your AI app to ask you before it approves, and that decision is yours. If your firm connects an app without the hold, each change posts as the app makes it. How approval works.
Then the app re-reads the period to confirm Uncategorized Expense is empty, apart from any lines you left for the client.
What happened when we ran it
Our sample company had 210 expenses from July to September, 60 of them in Uncategorized Expense. The read pass, a vendor-history match, proposed an account for every uncategorized line.
- The proposals matched the right account for all 60 uncategorized lines. Here’s what four of them looked like:
| Vendor and amount | Proposal and basis |
|---|---|
| Chin’s Gas and Oil, $42.94 | Fuel: 11 of 11 prior lines |
| Chevron, $171.39 | Fuel: 13 of 15 prior lines |
| Verizon, $135.64 | Telephone: 6 of 6 prior lines |
| Adobe, $36.28 | Dues & Subscriptions: 9 of 15 prior lines |
The Adobe row is the kind to look at twice: 9 of 15 is a majority, not a habit.
- Nothing posted until the batch was approved. After approval, one batch reclassified all 60, and a re-read found none left in Uncategorized Expense.
What to check before you approve 60 changes
When your AI app asks you to approve, 60 changes are about to hit a client’s books. You don’t need to open 60 transactions. You need to know that each group makes sense.
- Counts and dollar totals by destination account. In our sample company: Telephone 15 lines ($1,837.02), Fuel 9 ($1,042.90), Dues & Subscriptions 8 ($426.17), Job Materials 8 ($2,866.91), Meals and Entertainment 7 ($549.87), Equipment Rental 6 ($3,253.07), Gas and Electric 3 ($971.92), Automobile 2 ($150.54), and Supplies 2 ($561.52). Do those look like this client’s quarter?
- The basis for each group. “13 of 15 prior Chevron lines are Fuel” is a reason. “No history” isn’t, and those lines shouldn’t be in the batch.
- A spot check. Open 2 or 3 of the proposed changes in QuickBooks before you approve.
Where this stops
- The bank feed. QuickBooks doesn’t open the bank feed’s For Review list to outside apps. This works once items are posted, including ones accepted into Uncategorized Expense. What the app can and can’t reach is in the QuickBooks Online capabilities and limits guide.
- About 60 changes per approval. A bigger cleanup runs as several batches, each approved on its own.
- Vendors with no history. Without history or a clear memo, the right account needs the client’s answer, and those lines stay flagged.
- Lines posted to the wrong account. Vendor history catches few of them: 4 of 25 in our sample company. Those still need your review.
- QuickBooks’ own rules. A change QuickBooks rejects doesn’t post. Intuit’s Reclassify article lists the transaction types QuickBooks won’t let you move.
- Partial runs. If a run stops partway, the changes made so far stay made. Re-read the period before you run the rest.

Frequently asked questions
Can QuickBooks Online reclassify many transactions at once?
Yes, with the Reclassify transactions tool in QuickBooks Online Advanced and QuickBooks Online Accountant. You choose the new account, class, or location. You can't change the bank or card account on an expense, or the account or class on an inventory adjustment. On invoices, sales receipts, checks, and bills that use products or services, only the class can change, and on billable expenses the income side stays as it is.
How does an AI app decide the new account?
It reads the posted transactions and proposes an account from how that vendor has been categorized before, with the basis for each line. Nothing changes in that read, and by default nothing reaches QuickBooks until the batch is approved.
Does Connect change transactions without approval?
Not by default. Connect holds the whole batch until it's approved, and your AI app's settings decide whether it asks you first. An app connected without the hold posts each change as it makes it.
Can it categorize transactions in the bank feed's For Review list?
No. QuickBooks doesn't open the For Review list to outside apps, so accept those items into the books first.
How many transactions can one approval change?
About 60. A bigger cleanup runs as several batches, each approved on its own.
What happens to transactions with no vendor history?
They stay flagged for you to decide, with the client's answer if the memo doesn't settle it.
